Do you love serving clients and helping creative teams stay organized and on track? We are looking for a Project Manager (PM) with experience leading clients and facilitating day-to-day interactions between clients and our internal team of writers, strategists, designers, and directors. You will act as a central point of contact for select clients and be responsible for managing the entire process, providing a hub of project details for the entire team, from the start of a project to its close. You should command a high level of efficiency as well as client happiness to ensure both profitability and repeat business and/or referrals. You will clearly define and manage project scopes, assuring that delivery is within scope and on time.
The role requires the development of work plans according to our unique methodology, targeted approaches to complex problems, balancing of multiple projects simultaneously, and working with internal and outsourced staff. You will manage many many details (this should excite you!) and need to have excellent communication skills to ensure an experience that invites clients to keep coming back. You will report directly to our Director of Project Management.

As a part of this role, you will have several key areas of focus:
Client & Project Management
-Build relationships with clients to foster confidence and credibility
-Schedule and shepherd all client interactions including the formalization of documentation, presentations, receiving and distributing feedback on all work, in all phases
-Assure the work meets requirements, or provide guidance for correction, before releasing to the client for review
-Participate in client meetings, often leading conversations around process and timeline
-Gather quotes from identified outside resources, as needed, and secure those resources upon approval
-Identify and/or negotiate opportunities for change orders, document in the agency tool, and create related statements of work for client approval Implement agreed-to billing rhythms for each project and create invoices for each milestone, as well as bill-backs and hourly engagements
-Assure vendor invoices are collected and submitted to accounting for payment
-Construct and maintain detailed and flexible schedules for all assigned projects in Matchstic’s project management tool
-Participate in Traffic meetings to evaluate current agency projects, staff allocation, and weekly deliverables due out to clients
-Identify and communicate scheduling obstacles to Traffic and actively participate in recommending solutions
-Engage and manage project outsources, as needed
-Maintain schedule accuracy throughout all projects’ lifecycles
-Assure accuracy of staff time entry into each project and advise on corrections
-Provide regular project status to the Director of Project Management
New Business Support
-Review/proofread proposals as requested
-Provide estimations for proposed work as requested
-Identify new work to offer to your clients, review the opportunity with the New Business Development team
-Attend weekly New Business check-ins
This role is mid-level(several years of agency experience are preferred, however, we are most interested in relevant experience and skillsets). In addition to being based in Atlanta (Eastern time zone), you could be a good fit if you have:
-3+ years of successful Agency Project Management experience, or equivalent
-Outstanding written & verbal communication skills - internally & externally
-Expert organizational skills and incredible attention to detail
-Ability to think and see the big picture - proactively anticipating client needs
-Takes initiative to solve problems, get projects unstuck, and align team on next steps
-Excellent skills in Microsoft Office and/or Google Drive applications
-Ability to successfully manage multiple projects simultaneously, handle a fast-paced work environment and changing priorities
-Workamajig experience is a huge plus!
-Knowledge of print production and experience collaborating with web developers is also a plus!
